Projects Elective Fields

Path: Transactions > Projects > Records / Identity

Account # – the account to which project costs are charged. The account must be a valid WebTMA account. If you select a Requestor before entering an account number, the field is automatically populated with the number associated with the requestor's department when a department has been designated on the Requestor's record and an account number has been recorded on the Department record.

Closed Date – a date in this field shows that both the manual labor is finished (indicated by the Completed field) and all related sign-off sheets, approvals, and any other requirements are also done. Once a project is marked Closed, the project number is no longer available for selection in popup windows

Comment Subtab – add ongoing commentary about the project. These can be made throughout the term of the project.

Completed – the date the physical work on the project is finished. This is similar to the Finished date on a work order.

Contractor – the contactor's code. WebTMA automatically completes the Contractor name in the adjacent field.

Department – the department that requested the project.

Description Subtab – describe the project in detail including any requirements and/or specifications.

Due Date – the estimated end or completion date of the project. It is recommended that this field be populated when adding the record. The field can be modified as needed.

E-mail – the e-mail address for the most concerned person who requires notification about action taken on the project.

Event – the name of an associated event. A read-only field. If you use the WebTMA Events module, you can specify a project number for the event.

Event Template – similar to the Request Template described below, a mark in the Event Template check box identifies the record as a template that can be used when converting an event to a Project.

Facility/Building/Entity – a dynamically labeled field that identifies whether the work is to be done at the facility, building, or entity level.

Fiscal End Year – the fiscal year the project ends.

Fiscal Start Year – the fiscal year in which the project will be funded.

Fund – select a fund if you want to run reports that show the source of funding for particular projects. Funds are established in Organization > Lookups > Fund Types.

Parent Project – the master or parent project. WebTMA permits you to create sub projects within a project by establishing a parent-child relationship. Establishing this relationship creates a link between two projects.

Phone – the phone number of the requestor.

Priority – a free-form text field used to identify the precedence of the project for information purposes only.

Request Template – identifies the record as a template that can be used when converting a request to a Project. The field is searchable and is listed on the Form Attributes windows. The field can also be included in Reports. See Request Template for Projects for more information.

Project Manager – select a person in your organization that is responsible for managing the project. This field is for information purposes only.

Requestor – the person who requested the Project. If you enter a name in the Requestor field before selecting a department or an account number, the fields are automatically populated with the department and number associated with the requestor's department when a department has been designated on the Requestor's record and an account number has been recorded on the Department record.

Site – a free-form text field used to record the site, or location, where the project will take place. For information purposes only. In Add or Edit mode, click the ellipsis button to select from previously named sites.

Start Date – the expected or estimated start date of the project. It is recommended this field be populated when adding the record. The field can be modified as needed.

Status – the status of the project—updated as needed. Type or select a status.

Sub-system – related to the System field, the Sub-system field identifies a child of the main system and is also defined in Organization > Lookups > Systems. This field is for information purposes only.

Subtype – the established subtype related to the selected System. This is optional based on the Types set up by the WebTMA System Administrator.

Supervisor – a free-form field to enter the name of the person who supervises the project. This field is for information purposes only.

System – a selection of predefined systems used to identify any type of system that might be associated with the project. Systems are defined in Organization > Lookups > Systems. For information purposes only.

Warranty Expires – the expiration date of a warranty associated with the project. This field is for information purposes only.
